Most small business owners don't realize they can have every missed call answered automatically within minutes — using a feature already built into their phone. Here's exactly how to do it.
What Is Call Forwarding?
Call forwarding is a phone feature that automatically redirects calls from one number to another. When a call comes into your business line and you can't answer it, the call gets routed to a backup number — in this case, your AI receptionist.
You don't need new equipment. You don't need to change your business phone number. You just enable a setting on your existing phone.
The Two Types You'll Use
Unconditional forwarding: Every call goes straight to the forwarded number. Use this when you want your AI to answer all calls, every time.
Conditional forwarding: Only forwards when you don't answer, when you're busy, or when you're out of range. Use this when you want to answer personally when available, and hand off to AI when you can't.
For most small businesses, conditional forwarding makes the most sense — you answer when you can, and the AI catches everything else.
How to Set It Up
For a Mobile Phone (iPhone or Android)
On most carriers, you can enable conditional forwarding by dialing:
- When unanswered: `61[forwarding number]#` then press Call
- When busy: `67[forwarding number]#` then press Call
- When unreachable: `62[forwarding number]#` then press Call
Replace `[forwarding number]` with your AI receptionist's dedicated phone number. Most carriers activate this within seconds.
To turn it off, dial: `##61#`, `##67#`, or `##62#` for each type.
For a VoIP Business Line (RingCentral, Grasshopper, Google Voice, etc.)
Most VoIP providers have a forwarding settings page in their dashboard. Look for "Call Handling," "Forwarding," or "Call Rules." You can typically set:
- Ring duration before forwarding (10–20 seconds is common)
- Forwarding number when unavailable
- Forwarding schedule (e.g., after hours only)
For a Landline
Contact your phone carrier and ask to enable conditional call forwarding. They can set it up for you in a few minutes, or walk you through the feature codes for your specific system.
What Happens After You Set It Up
Once forwarding is active:
- A call comes into your normal business number
- You don't answer within the ring window
- The call automatically routes to your AI receptionist
- The AI answers professionally, has a conversation, and captures lead details
- You get an instant notification with the full transcript and summary
Your callers reach someone. Your leads are captured. Nothing changes about your existing setup.
Testing It
After enabling forwarding, call your own number from another phone and let it ring past the pickup threshold. You should hear your AI receptionist answer within a ring or two. If it doesn't forward, double-check the feature codes or your VoIP settings.
The whole process — from setup to your first captured lead — can take under 15 minutes.
